Turning hotel room changes into housekeeping work

A hospitality technology provider connected room status, supervisor planning, and mobile housekeeping and maintenance tasks, replacing a daily manual assignment process with a shared operating workflow.

The business context

A room can change status while the team is still working.

A hotel technology provider wanted to improve the work that happens between one guest leaving and the next arriving. Supervisors were arranging daily cleaning manually. Housekeeping and maintenance staff needed their assignments, while the front desk’s property-management system held the occupancy information that shaped those assignments.

Those are related views of the same room, but they answer different questions. Occupancy says who is staying; a cleaning task says what work is underway; an inspection says what has been checked. Shinetech connected them in a platform with a supervisor workspace on the web and task handling on mobile devices.

The operating challenge

A room move is more than an update to a room number.

Room changes were a specific challenge in the PMS integration. If a guest moves, the operational context for more than one room changes. A daily list that looked correct when printed can stop representing the work the hotel now needs.

The team integrated the PMS event stream and brought room information into a shared data model. The delivery had to connect those changes to the people doing the work, while keeping occupancy, task progress, and completion reporting understandable as separate parts of hotel operations.

The delivery decisions

Connect planning at the desk with work on the floor.

  1. Establish a common room context

Hotel rooms and PMS room status formed the shared starting point. This gave cleaning and maintenance work a consistent room reference, including when changes arrived from the property-management system.

  2. Give supervisors a working plan

The web application supported daily cleaning assignments, task imports from PDF or the PMS, and floor-level progress views. Supervisors could organize the day around both the room context and the work already assigned.

  3. Let staff report from the room

Mobile workflows let housekeeping and maintenance staff receive tasks, complete checks, and report completion. Guest requests and room-control work joined the same task environment, with chat, reporting, and multi-property configuration supporting the operation.

How the workflow holds together

Cleaning progress should remain visible beside occupancy.

Different states, one room

A room being vacant does not prove that its cleaning task is complete. Likewise, completing a checklist does not by itself describe the guest’s occupancy. The connected workflow brings those states together so a supervisor can make the next operational decision without treating them as interchangeable.

The delivered system remained in use, with further requirements continuing after launch. Supervisors could assign and follow daily work alongside room occupancy, while staff could report progress from the floor. Subsequent enhancements built on that connected operating workflow.

The delivered result

Daily room work became visible across web and mobile.

Shared context

Room information and PMS status support the operating workflow.

Task visibility

Supervisors can assign daily work and follow floor progress.

Field reporting

Housekeeping and maintenance staff can complete checks and report from mobile devices.

The platform was put into use and continued to receive enhancements across daily room work, mobile task handling, and supervisor visibility.
